Discover How To Recover Emails of OST Files in Outlook

Outlook as well as Exchange server has become the part of all business enterprises. The mail, all the personal information, works, etc. of the employees are stored with the help of these facilities. Mainly large enterprises prefer these for storing the data. When the Outlook is configured with the Exchange server, it makes useful to work even when the server is detached or dismounted.

How Offline Storage (OST) Is Created?

Offline storage tables (.ost files) are of great importance for the user who uses the Outlook, which is connected to the Exchange server. During the OST configuration, the user should check the “Cached Mode Enable” check-box since it enables the user to get all the replica of the mails stored in the mailbox of the Exchange server when in offline. In OST files the copy of all the folders like; mail, contacts, calendars, notes, etc. which were there in the mailbox of server are stored. When configuration is done, it allows the user to work with the mails even if there is no network.

 Note: When outlook OST file is not synchronized with the Exchange server then, the user cannot open the OST files. While trying to open it will show error messages. The OST file can be corrupted because of virus, failure to server, malfunctions, etc.

How Can We Manually Restore Emails from OST files?

The user can recover OST emails if the profile is not modified recently or not logged to a new mailbox. The steps to copy are:

Step 1: Open the MS Outlook by keeping in offline.

Step 2: On Tools, select Services.

Step 3: Click on the Add option and add Personal folder service.

Step 4: Select the mail to be copied and click on “Copy” option on the File.

Step 5: Select the Personal folder and then click on “Ok” button.

To repair OST files, we can use the utility provided by the Microsoft- Scanost.exe. Scanost.exe scans the damaged OST files and the mailbox on server, compares both and then solves the problem. The Scanost.exe is mainly used to repair the issues related to synchronization and not all the errors are removed; only minor errors are removed. For running the utility:

Step 1: Open Scanost.exe

Step 2: Select the Profile Name, which contains the corrupted data.

Step 3: Click on ‘Connect’ option.

Step 4: Choose ‘Repair error’ option.

Step 5: Click on ‘Begin scan’. The tool will scan the errors automatically.

Note: The Outlook should be closed while performing Scanost.exe.

Although there are manual procedures to recover email of OST files, they are not up to the point as it removes only few errors and the utility Scanost.exe is not available from Outlook 2010 onwards. Therefore, user has to rely on third party- the software. Many softwares are available in the market which makes the recovery process easier and one such helpful software is OST Recovery which scans and removes the errors, corruptions, etc. and converts to either of the formats; PST, EML, MSG. later on the user can import the files back to the Exchange server.
